Director of Administration and Operations – Summit Drive Church
Reporting to the lead pastor, the director of Administration and Operations is responsible for the overall leadership and direction of all on-ministry staff in the accomplishment of the mission of the church. This will include general oversight and day-to-day management of finance, facilities, risk management, information technology, human resources, office administration and support, and kitchen/food prep. As the staff liaison to several standing and sub-committees of the Board, ensures that open communication and operational effectiveness is maintained.
Requirements and Qualifications
Key Responsibilities
- Implement vision through giving sustained and systematic attention to strategic administrative objectives, the development and implementation of processes for effective operational evaluation, and regular reports on progress, as well as recommendations for next steps
- Assist the lead pastor in strategic planning and the annual updates to the Ministry and Services Plan
- Serve as coordinator, resource person, and advisor to the committees and/or ministry teams of the church
- Serve as staff liaison to the following standing and sub-committees of the Board:
- Communication and Technology
- Finance and Budget
- Physical Plant and Property
- Fellowship and Hospitality
- Financial Operations:
- Oversees the accounting / bookkeeping function and assists as needed
- Assists in the development of the annual church budget
- Monitors and reviews the church budget on an ongoing basis
- Distributing annual tax receipts and arranging for offering counters and assists as needed
- Ensure compliance with all CRA and other applicable government(s) regulations
- Reviews annually the insurance needs of the church with the Secretary / Treasurer
- Physical Plant and Property:
- Oversees all church building maintenance, operations, cleanliness and security and assists as needed
- Reviews the building maintenance and operations plan to ensure long term building upkeep
- Oversee and facilitate the Church Premises Use Policy
- Ensure compliance with all Fire Regulations and codes, WorkSafe BC, and other applicable government(s) regulations
- Communication and Technology:
- Oversight of all social media outlets and overall web presence and assists as needed
- Oversees the implementation and ongoing direction of church information technology (IT) infrastructure (internet connectivity, firewall(s), VOIP, network cabling, WIFI networks, etc.), Planning/Church Center, enabling growth and the accomplishment of the church’s mission
- Fellowship and Hospitality:
- Oversees the volunteer kitchen coordinator and kitchen volunteers
- Developing and supervising teams to do ministry (e.g., communion, coffee prep and clean up, bulletin boards, etc.)
- Ensures the church is compliant with Food Safe and other applicable government regulations
- Assist as needed
- Office Administration and Support:
- Develops, manages, and assist as needed in a variety of administrative support and record keeping functions to ensure that the day-to-day office and administrative work is effective and timely
- Supervise staff including office reception, administrative assistants, other secretarial- clerical workers, custodial, food service workers and other general labour workers
- Recruit and train staff as required
- Creating a welcome environment for all callers and visitors
- Handle difficulties and emergencies effectively and spiritually with commitment to conflict resolution
- Ensure compliance with all relevant labour laws and employment standards
- Reviewing the Employee Manual and recommending any changes to the Lead Pastor and Personnel Committee
- Assists in ensuring that the church ministries and operations are in compliance with the Policy Manual
- Coordinating the Prayer Chain
- Provide oversight on the church directory and calendar
Qualifications
This candidate must be a mature follower of Jesus who is dedicated to the ministry of the local church, open and teachable, and must work well in a team setting. A bachelor’s degree (preferably in Business Management or Finance) is required. A level of competence in Human Resources is an asset.
Special Notes
This is a temporary, full-time position (40 hours/week), on a 13-month contract to cover maternity leave and one month of training, with an anticipated start date of March 3, 2025.
