Executive Assistant – NAB International Office

The NAB International Office is seeking an executive assistant; this administrative position assists the day-to-day functioning of the NAB executive director.

Requirements and Qualifications

Requirements

  • Agreement with the NAB Statement of Beliefs, Marriage Statement, Sexual Misconduct Statement, and Ethics Statement.
  • A vibrant walk of faith in and with Jesus Christ.
  • Commitment to confidentiality.
  • Self-directed and detail orientated.
  • Comfortable working virtually and facilitating others in working virtually.
  • Membership in an NAB church.
  • NAB church lead pastor recommendation.

 

Responsibilities

Executive Director (ED)

  • Assisting the ED where needed, in various administrative tasks and projects.
  • Resourcing the Executive Team (ET) in their meetings, including minutes and maintaining documents.
  • Organizing and booking ET in-persons (three times a year); no attendance will be required.
  • Booking flights, hotels for the ED.
  • Complete expense payment requests of ED.
  • Research as required/requested by ED.
  • Communications as required/requested by ED.

 
Regional Ministers (RMs)

  • Resourcing the RMs in monthly ED web calls, including minutes and emails.
  • Organizing and booking RM/ET retreats (twice a year). Attendance might be required/compensated.
  • Organize communication on Association/Region meeting schedules. Securing dates for RMs.
  • Organizing the ET ministry calendar.
  • Prepare ordination certificates as needed.

 
International Office (IO)

  • Creating the IO prayer calendar.
  • Organizing the annual NAB staff get together.
  • Plan and lead Christmas celebration with staff (online).
  • Assisting in chaplains (military and domestic) credentialing.
  • Keep the credentialing database of all NAB ordained pastors, including necessary documentation.
  • Send virtual birthday cards to all staff, RMs, Governing Board (GB), and missionaries. Send NAB anniversary gift cards.
  • Send condolence flowers/cards to IO staff.

 
Governing Board (GB)

  • Host GB meetings. Submit GB receipts. Coordinate online GB meetings.
  • Plan accommodation and meal arrangements and local transportation for in-person meetings.
  • Attendance required/compensated.
  • Resourcing the GB. This includes, emails, minutes, sending documents two weeks prior to the meeting.
  • Maintain documents and policy governance manual updates.

 
Triennial

  • Under ED direction, develop plans for the next Triennial Conference 24–30 months prior.
  • Assist in developing a local arrangements committee/chair as needed.
  • Contact potential speakers, with communication of expectations, contracts, and due dates.
  • Communicate delegate information to churches of the NAB Conference within appropriate timelines.
  • Work with ED and GB Moderator to develop materials for Business Session.
  • Take minutes at the Triennial Business Session.
  • Attend Triennial events as required.
  • Fill out expense reports for reimbursements of appropriate Triennial expenses.

Special Notes

The hours are part time (20–30 hours a week), dependent on what is needed by the ED or the executive assistant.

This position is accountability to the executive director of the NAB.

Compensation and Pay

  • Based on experience.
  • Computer will be provided.
  • High-speed internet allowance provided.
